For data protection purposes, the data controller is:
- Legal name: MARTIN BAKER
- Business address: 225 ASHFIELD ROAD, THORNTON-CLEVELEYS, UK, FY5 3JA
- Privacy contact: INFO@EXTRAS.TV
The data controller determines how and why personal information is processed.
2. What information we collect
Depending on the membership and services used, we may collect:
- Identity and contact information, such as name, email address, telephone number and general location.
- Profile information, such as photographs, appearance, skills, languages, performance experience and other information supplied for a performer profile.
- Account information, including login and account preferences.
- Membership and transaction information, including membership type, payment status, invoices and relevant transaction records. Payment card details may be handled directly by our payment provider.
- Communications and support records, including enquiries, complaints and correspondence.
- Technical information, such as IP address, device and browser information, security logs and information collected through cookies or similar technologies, where applicable.
We aim to collect only information that is reasonably necessary for the purposes explained in this notice.
3. How we use personal information
We may process personal information to:
- Register and administer member accounts.
- Create, maintain and display performer profiles.
- Enable profiles to be viewed by members of the public, casting professionals or other intended audiences, as described during registration.
- Provide free and paid membership services.
- Process payments, manage renewals and handle cancellations or refunds.
- Communicate about accounts, memberships, security and support requests.
- Maintain website security, prevent fraud and investigate misuse.
- Maintain necessary business, accounting and legal records.
- Send optional promotional communications where permitted by law and, where required, with consent.
- Meet applicable legal and regulatory obligations.
We will explain any additional purpose before using information in a way that is not covered by this notice, where required by law.
4. Our lawful bases for processing
UK data protection law requires us to have a lawful basis for processing personal information. Depending on the purpose and circumstances, we may rely on:
- Contract: Where processing is necessary to provide the membership or other services requested by a member, or to take steps requested before entering into a contract.
- Legitimate interests: Where processing is necessary for a legitimate business purpose, such as maintaining website security or administering and improving the service, provided those interests are not overridden by the individual's rights and interests.
- Legal obligation: Where we must process or retain information to comply with applicable law, including relevant accounting and tax obligations.
- Consent: Where we rely on consent for a specific purpose, such as certain promotional communications or optional processing. Consent may be withdrawn at any time, without affecting the lawfulness of processing carried out before withdrawal.
The lawful basis will depend on the particular processing activity. We will not rely on consent as a blanket basis for every use of personal information.
5. Public performer profiles
Extras.tv is designed to allow performer profiles to be displayed publicly.
Depending on the profile fields and membership features, public information may include a member's name or chosen profile name, photographs, general location, appearance, skills, experience and other profile details.
Public profiles may be accessible to people who do not have an extras.tv account and may be indexed by search engines.
Before submitting a profile, members should review which fields will be public and avoid publishing private contact information or unnecessary personal details.
Where available, members may update profile information or request that information be removed from public display by contacting us or using the relevant account controls.
Removing information from extras.tv may not immediately remove third-party copies, search-engine caches or screenshots.
6. Age requirement
Extras.tv is strictly for individuals aged 18 and over. We do not accept registrations from individuals under the age of 18, and parental or guardian permission does not override this age restriction.
We may request reasonable evidence of age where necessary to verify eligibility.
If we become aware that a member is under 18 or has misrepresented their age, we may suspend or close the account, restrict access to the profile and delete personal information that we no longer have a lawful reason to retain.
7. Who we share information with
We may disclose personal information where necessary to:
- Website hosting, database, technical support and security providers.
- Payment processors and providers supporting membership administration.
- Email and communications providers.
- Professional advisers, auditors, insurers or other service providers where necessary.
- Public authorities, regulators, law enforcement or courts where legally required or permitted.
- Casting professionals, production companies or other third parties where the member has requested or enabled a relevant service and the disclosure is appropriate and lawful.
Important: Extras.tv will not assume that a public profile automatically authorises the disclosure of all underlying account information. Private contact details and other non-public information will be handled separately and shared only where an appropriate lawful basis and any necessary permissions exist.
We will identify relevant recipients and explain significant disclosures more specifically where required.
8. International transfers
If our service providers or other recipients process personal information outside the United Kingdom, we will ensure that any international transfer complies with applicable data protection requirements. This may involve UK adequacy regulations, appropriate safeguards or another lawful transfer mechanism.
Further details can be requested using our privacy contact details.
9. How long we retain information
We retain personal information only for as long as reasonably necessary for the relevant purpose, taking account of legal requirements, account status, security, disputes and legitimate business needs.
Different information may be retained for different periods. For example:
- Account and profile information may be retained while an account is active and for a reasonable period afterwards.
- Payment and accounting records may need to be retained for applicable statutory periods.
- Records of consent, authorisation, complaints and account closure may be retained where necessary to demonstrate compliance or resolve disputes.
- Security logs may be retained for a proportionate period.
We will establish and apply appropriate retention periods rather than retaining all information indefinitely.
10. Cookies and similar technologies
Extras.tv may use cookies or similar technologies to operate the website, remember preferences, maintain security, analyse usage or support advertising.
Where consent is required for non-essential cookies or similar technologies, we will seek it through an appropriate mechanism. Further information will be provided in our Cookie Notice or cookie settings, where applicable.
11. Your data protection rights
Subject to the conditions and exceptions under applicable law, you may have the right to:

- Request correction of inaccurate or incomplete information.
- Request erasure of information.

12. Marketing communications

Promotional emails, texts or other direct marketing will be handled in accordance with applicable data protection and electronic marketing laws. Where consent is required, you will be asked separately and may unsubscribe or withdraw consent.
Opting out of marketing will not prevent essential account or service communications.
13. Security
